Switching funeral home software: moving your records

Plan a funeral home software migration: export cases and documents, verify sample records, reconcile payments and prepare staff before going live.

Switching funeral home software means bringing across the records your staff use every day and the older files your firm needs to keep. Before agreeing a date, check what your current provider can supply and choose someone in the firm to review the transfer.

Start with the records you have

Ask for an export of your cases, family contacts, statements, payments and service details. Ask for the document files as well. If some information lives in spreadsheets or scanned folders, include those in the discussion. Confirm which locations and years the transfer will cover, and keep a copy of the original export.

Check a few cases together

Choose a sample that reflects your work: an active case, a completed funeral, an account with a balance and a case with several family contacts. Include older records and cases from each location.

Compare the imported records with the originals. Check names, dates, family responsibilities and service details. Reconcile statement totals, payments and balances, then open the documents to make sure they belong to the right case. Resolve any differences before the full transfer.

Use an agreed private transfer method for the sample. Family records should stay out of public inquiry forms.

Prepare for the first day

Agree who will use the new system, what training they need and who will help with the first live case. Decide how to bring across anything entered in the old system after the sample was taken. Keep the original records available while the final checks are completed.

With Cortege, we review your export and check a sample with you before planning the move. We agree what can be transferred, the work involved and any separate charges before starting.
