Record a cremation run
Record the case's cremation authorisation and supporting documents before proceeding with the firm's cremation process.
Work in Crematory operations
Select Crematory operations in the workspace selector. The case remains the shared record for identity, documents, preparation and custody; the cremation order tracks the operational stage and bookings.
| Screen | What to do there |
|---|---|
| Operations queue | Find the next order to work on, its stage and outstanding requirements. Open the row to review it, then open the cremation workspace. |
| Intake | Open an order for an existing cremation case, or accept a partner funeral home's submission. |
| Schedule | Book a retort, move or cancel a booking, and compare planned time with recorded activity. |
| Custody | Review where the decedent is and open the case's custody history. |
| Release | Review remains awaiting handover and record the recipient and release. |
| Run log | Review recorded cremation runs by date. |
| Partner homes | Manage partner details, agreements and permitted portal access. |
| Partner billing | Review partner charges and invoices. Internal case billing stays on the case. |
| Reports | Review crematory volume, waiting times and recorded retort activity. |
| Crematory settings | Add, edit or take a retort out of service. |
Available controls depend on your permissions and location access.
Follow an order
- Start in Intake, then open the order from Operations queue.
- Confirm arrival and update the order to Received. Record the physical handover and identification method in the case custody record.
- Review Readiness. Missing evidence explains what to record and links to the relevant case section where you have access. Readiness updates from recorded evidence; it is not a checkbox.
- In the booking section, select Book a slot. The order is already selected. Choose the retort and times, then save. A slot may be reserved while paperwork is pending. Once arranged, update the order to Scheduled.
- Open Open run record to record the actual cremation and its checks. Update the order stage as the work progresses through In process, Processing remains and Awaiting release.
- When the remains leave your care, use the order's handover action or Release. This records the recipient and custody event together with the final order stage.
Bookings, order stages and run records are separate. Booking a slot does not move the stage; moving the stage does not create a run record. If the case is held by a location you cannot access, ask that location to record the evidence or handover.
Get paperwork for several orders
- Tick the orders you need in Operations queue.
- Select Download documents.
- Save the files from the list. Links expire after five minutes. Select Download documents again to create new links.
Access is recorded when each download link is prepared, even if you never open the file. The audit record does not confirm that a file was saved to your device.
The result shows files available to you and explains incomplete results:
- No documents visible to you means no document rows were returned for those orders. The case may have no documents, or your permissions may prevent you from reading them.
- Could not be prepared for download means a file could not be authorised or its download link could not be created. Open the order to try that file again.
- Order not readable means the selected order is no longer accessible. Reload the queue.
- A request includes at most 50 files. Select fewer orders, or open an individual order to access remaining files.
You can also collect documents for released cremations.
See how long the work takes
Current orders by stage shows current orders by stage and how long they have been there. It includes all current orders, regardless of the twelve-month reporting window.
Time by stage measures completed stage visits within the reporting window. Finished counts visits with a recorded departure. In stage counts visits without one; these visits do not contribute to the timings.
- Median time is the 50th percentile of completed visits.
- 90th percentile is the duration at or below which approximately 90% of completed visits fall.
- Longest is the longest completed visit.
An order can visit the same stage more than once if it moves back. Each completed visit contributes separately. Final stages have no departure and therefore no completion time.
Only transitions recorded since stage history was introduced are included. Earlier stages are not reconstructed. The reporting window uses the date each stage was entered.
Both tables respect your location access. Colleagues with different access may see different totals.
Schedule another day
Use Previous, Next or Choose date on Schedule. Week shows the full week; Range lets you choose a start and end date. Today returns to the current date in the firm's time zone. Every booking shows its date; select the decedent's name to open the order.
Set up the retort
A manager or owner adds units under Crematory settings, also reached by Manage retorts on Schedule. Global Settings → Funeral home → Cremation units opens the same records. Enter the unit's name, location and optional serial number. Its location is fixed once created.
Use Take this retort out of service when it should not be available for new runs. Previous runs keep naming it.
Record a run
- Open Cremation on the case.
- Check the authorisation information and any warning.
- Select Record a run.
- Choose Retort and enter the disc number, Started at, Finished at and Operator, as applicable.
- Add notes and save.
- Check the run against the source log.
Record a check for the run
- Select Record a check.
- Choose Check and enter Observed value where required.
- Check Check time.
- Select Record check.
Checks cannot be edited or removed. To correct one, record another check; both remain. The Correct and Withdraw actions below apply to the run, not its checks.
Correct or review
Use Correct to fix a run. Use Withdraw for a run recorded in error and review the confirmation before proceeding.
Open the crematory day view and select the relevant date. Runs without a start time appear under Not started rather than on a completed day.
A saved run is a software record. Follow the firm's identification, authorisation and operating checks independently of whether the form accepts it.
Reviewing a partner invoice
Open an invoice number from Crematory operations → Partner billing to review its period, recorded status and charge lines. The detail pages continue through every visible charge. CSV exports all charge lines you are authorized to see, including withdrawn lines marked separately. The file states that access scope; a location-restricted export must not be treated as the complete firm's invoice.
Mark as sent records delivery performed outside Cortege. It does not send an email. Mark as paid records payment; it does not collect money or reconcile a bank transaction.
The billing, partner and portal-link registers have page controls. Reports include every authorized group in the selected period. An unavailable report panel is not a zero total; reload it before using its figures.
