Archive a case

Archive a case when the firm has finished working on it. Check outstanding paperwork, payments and family requests first.

Archive

  1. Open the case and select Archive case.
  2. Check that the confirmation names the correct case.
  3. Review the findings for statements, balances, signatures, supplier orders, external requests, checklist and belongings. Return to unfinished work where needed. Unknown or Not tracked yet does not establish completion.
  4. If you intentionally proceed with outstanding work, enter the requested reason and select Archive anyway. If no reason is required, confirm Archive case.

The case leaves the default working list. Its records remain readable, but editing is restricted and family links stop working.

Archiving does not settle a balance or replace completing the work recorded on the case.

Find an archived case

  1. Open Cases.
  2. Turn on Include archived.
  3. Search by the name or case number and open the result.

See Find a case or document for other filters.

Archived by mistake or needs more work

There is currently no staff-facing action to reopen an archived case. Open Help & support and explain what needs correcting. Keep identifying case details out of the initial report; follow support’s instructions for any information needed. Do not create a duplicate case to work around the archive.

Review the record

The case history shows recent events and who performed them. It is not an unlimited history view. Staff with audit access can use Activity for a wider review.

Voided payments and statements remain part of the record. Use the relevant correction action rather than expecting an archive to remove them. See Correct a payment and Build the statement.

See Contact support for reports, attachments and help when you cannot sign in.

Check the evidence behind the findings

Review current family vital-information verification, recap, required signatures, packet delivery and financial clearance where applicable. In Belongings, distinguish receipt not reviewed, items still held and acknowledgement still owed. These are separate from a decedent custody movement.

Review service-change notices and newspaper placements if used. They are optional work, not universal archive requirements. Keep any outstanding commitment with its owner; archive does not obtain acknowledgement or publisher confirmation.
