Set up a payment plan
A payment plan records what the family agreed to pay and when. It does not automatically charge a card or bank account.
Create the schedule
- Open Payment plan on the case.
- Select Set up a payment plan.
- Enter Total to spread, Number of payments, First payment due and Payment frequency.
- Record the terms in Agreed terms.
- Review Instalment preview.
- Select Set up the plan.
Check the saved instalments. Any rounding difference is included in the final payment.
Maintain the plan
Use Add a payment for another scheduled instalment or Edit this instalment to correct its due date or amount.
Record actual receipts in Payments, or send online requests. The schedule and the money received are separate records.
Use Close the plan when it is completed or cancelled. A closed plan remains on the case. Reopening is available only when the case has no other active plan.
Follow up on an unpaid balance
Open Finances → Receivables and use its location and aging information to choose cases for follow-up. Collection follow-up narrows the list to Due today or overdue, Overdue follow-up, My follow-ups, Needs an owner or Contact on hold. On a case, use Collections → Record collection activity to record when contact happened, the outcome and any promised amount or date.
In the same dialog, choose Schedule follow-up to set a Follow-up date and the colleague it is Assigned to. When it is due, the follow-up appears in that colleague's work on Today. A dispute puts routine contact on hold: schedule a dispute review instead, and select Resume routine contact once the dispute is settled. Only staff who can see financial records see collection follow-ups.
A promise to pay does not reduce the balance, and a follow-up does not change the ledger. Record the payment when it arrives.
Review funding terms
Open Finances → Receivables → Funding decisions for outstanding insurance and payment-plan requests. Assigned to me shows requests under policies that name you as an approver. Use All approvers or All history for the wider record.
Before staff can submit requests, a manager configures Settings → Case workflow → Form templates → Funding approval policies using the firm's confirmed approvers, approval count, self-approval rule, signing order and required PDF forms. No policy is enabled automatically.
On the case, prepare the required packet copies and signer roles, then use Funding approval to submit the covered amount and terms against the selected statement and insurance assignment or payment plan. Named approvers review the saved terms and copies, then approve, return for correction or decline with a reason. The requester can withdraw an outstanding request.
Material changes to the statement, funding terms, policy or copies require a new review. Earlier requests remain in the history. Approval does not record a payment, settle insurance or reduce the balance.
For approval expiry, receipt allocation, mixed funding and service clearance, follow Review funding and financial clearance.
