Review funding and financial clearance

Funding approval records the firm's decision about particular terms and supporting copies. It does not collect money, settle an insurance claim or approve a changed agreement automatically. Financial access and the firm's named approvers govern the available controls.

Prepare and submit

  1. Check the selected statement and record the insurance assignment or payment plan.
  2. Prepare the policy's required packet copies and configure their signers.
  3. In Funding approval, choose the route, covered amount, terms and exact supporting copies, then Submit for approval.
  4. Follow the firm's configured signing order: approval before signing, or signatures before approval. Check both approval and signature counts.

A manager first configures Settings → Case workflow → Form templates → Funding approval policies with confirmed approvers, approval count, signing order, self-approval rule and required PDF forms. A saved policy revision requires existing requests to be reviewed again.

Make and follow a decision

Open Finances → Receivables → Funding decisions. Assigned to me and Outstanding show work waiting for your review; use All approvers or All history for other records. Open the case and read the saved terms and copies before Approve, Return for correction or Decline. Record a reason. The requester can Withdraw request where available.

Record an Approval expires deadline from the actual approval where applicable. Expired coverage requires renewed review; extending it is a new decision. Changes to the agreement, funding terms, policy, receipts or supporting copies can also require a revised request. Prior decisions remain in history.

Review clearance

In Financial clearance, review the effective agreement, net collected, balance due, approved coverage and the specific reasons shown. Not verified or unavailable evidence is not clearance.

For mixed insurance and payment-plan coverage, use Allocate mixed funding to assign separate portions of the balance. Use Allocate a receipt to link money already received to its approved payment plan. Allocation does not create another receipt. Recheck after receipts, reversals or funding changes so the same money is not counted twice.

If service clearance is lost, review Restore service clearance, its responsible colleague and follow-up date. Resolve the underlying records before confirming the service again. An approval alone does not make the ledger balance zero.

Review open payment requests after a change

Check Open payment requests against the current agreement. Keep request payable records a deliberate review; Retire request ends further collection through that request where possible. A payment already processing may still settle. Check the provider and ledger before creating another request or refund.
