Import and export records
Use the importer available for the type of data you are adding. For a full migration, agree the mapping and verification with the person handling the move before importing live records.
Import cases
- Open Migration review → Import from your old system.
- In Files, name the source system, select its date format and choose the default location for cases without one.
- Upload the Cases CSV. Add the available family/contact, statement-line, payment and service CSV files.
- In Columns, map the required fields. Keep the source record identifiers and map each related row's case identifier so it attaches to the right case.
- In Their words, map source statuses, types and other values to the offered meanings.
- In Review, select Rehearse it. This reports the outcome without writing records.
- Resolve rejected cases and rows with no matching case. Upload corrected files and rehearse again as needed.
- Select Import when the preview is correct, then review the resulting counts and sample cases.
A rerun adds missing records; cases already imported stay as they are. It does not overwrite corrections to those cases. Keep the source-system name and identifiers consistent. Ask the migration administrator how to repair an already imported error before rerunning with different identifiers.
For a price list, use its own import workflow under Price List rather than the case importer.
Import document files
Import the cases first, then use Migration review → Import attachments.
- Select Download the template for the manifest.
- Fill in sourceCaseNumber and path for every file. Paths must match files inside the folder you will select. Title and sensitivity are optional.
- Choose File this run at, upload The manifest, and select The folder of files.
- Select Check first and resolve missing files, unknown or ambiguous cases and rejected formats.
- Select File them.
- Review uploaded, already-present and failed counts, then open sample documents from their cases.
An attachment CSV without the actual files does not transfer the documents. Previously imported files are skipped on a rerun. Preserve the source folder until the migration is reconciled.
Review a migration
Open Migration review to inspect imported records, checks and import runs. Compare case numbers, contacts, charges, payments and document availability against the agreed source sample.
An import record or document index is not proof that every source file was transferred. Reconcile the bytes and totals as part of the migration.
Open an import's Import sources to review its Original files and row outcomes. Use View original row to compare the original values with the imported record, or Download original when you need the retained file. Keep these files private: they may contain personal and financial information that was not mapped into the case.
Older imports may show No original file was saved for this import. Do not treat that as evidence the source contained no data. A retained original and a source-row record explain an import; they do not establish that every source value was mapped correctly. Preserve the external source archive until reconciliation is complete.
Export records
- Open Settings → Security & data → Data & recordings.
- Under Export case data, select Download the export.
- Read any protected-data or scope notices.
- Save the archive securely and inspect its contents.
For the actual document files, use Prepare my document files under Your document files. Wait for preparation to finish, then download the available archive. The spreadsheet export and document-file archive are separate downloads.
Closing a firm
Close this firm is an owner action for stopping new work. It retains existing records and is not an ordinary backup or export step. Read the confirmation carefully; there is no self-service undo.
API access, event feeds, first-call feeds and obituary website connections are under Settings → Security & data → Integrations. For help, use Integrations.
