Arrange cover for an unavailable colleague

A staff member cannot work a future published shift. Another colleague can cover, but the manager needs to approve the change and check the affected service work.

Requester: ask for cover

  1. Open Staff → Roster. Choose the week and location, and find your shift.
  2. Select Request cover. Under Offer to, choose Any eligible member or a specific colleague, then submit.
  3. Check the request in Cover requests. You remain responsible for the shift until a manager approves cover. The request expires when the shift starts.

Replacement and manager: confirm the change

The replacement opens the request and selects Offer to cover. An offer alone does not change the assignment.

The manager reviews the request, proposed replacement and schedule, then selects Approve cover or Decline cover. Add a decision note if useful; it is visible to the requester, replacement and location roster managers, so leave private personal details out.

After approval, review the published shift to confirm the replacement. If the request is declined or expires, arrange another replacement. If cover is no longer needed while the request is active, the requester can use Withdraw request.

Hand over the actual work

Open affected cases and review Services, running-sheet leads and outstanding tasks. Update assignments where necessary; a roster change alone does not establish that every case assignment has been reviewed. Give the replacement the current plan and use a shift handover for outstanding work.

Finished when: cover is approved, the roster shows the replacement, and the service work and instructions have been handed over.

The roster shows published shift coverage. Review location and week filters before requesting cover, and check the saved result before retrying after an interruption. A pending request leaves the original assignment in place.
