Hand responsibility to the next shift
The day director is leaving. A supplier confirmation and a family callback still need attention, and the incoming director needs a clear first action.
Outgoing director: prepare the brief
- Review Today and the affected cases. Update task assignments and external follow-ups at their source; use Daily handoff and waits for that review.
- Open Today → Handovers, or stay on Today, and select Prepare a handover.
- Choose the Location and Handing over to colleague. Summarize What they need to know and enter the Next action. For example: "Confirm the florist's delivery time before calling the family."
- Select Save the draft. Use Add a case, then Add a task or Add a blocker for relevant outstanding work. Add a short note explaining what the incoming colleague should do. Linked cases must belong to the handover's location.
- Review the brief and select Send handover. Sent briefs cannot be edited, readdressed or deleted. Create another brief if an update is needed afterwards.

Incoming director: accept the handoff
Open the brief addressed to you. Read its summary and next action, then compare linked items with their current state. Changed since the handover means the source record has moved on since the item was added.
Open each case that needs action. Check the current owner, due time and instructions, then select I have read this to acknowledge the brief. Only the addressed recipient can acknowledge it.
Acknowledgement records that the brief was read. It does not reassign work or complete tasks; make those changes on the case as needed.
Finished when: the recipient has acknowledged the brief and knows which action to take first. The sent brief remains available as the handover record.
Compare the prepared brief with current follow-ups
A linked case includes When prepared and Current follow-ups for service notices and newspaper placements. The prepared status stays as it was when the case was added. For example, an outgoing Awaiting acknowledgement can show Complete now after the recipient confirms the notice.
Use the current link to act on the source record. If details changed again, obtain acknowledgement or publisher confirmation for the current revision. Older briefs may have no prepared follow-up snapshot; Follow-up status unavailable is not evidence that nothing was outstanding. Reading or acknowledging the handover does not complete this work.
